Monitoring and performing transfers in the transfer center

Abstract

After the ILAP exchange agreement (IEA) is set up and the start date has arrived, transfer events are created at the frequency that has been defined. The transfer events consist of an Upload and a Download and are performed through the Execution component. There are two execution components available in the IDE, the Autonomous component (AC) and the Desktop client (DC). Transfers through the AC are mostly automated, whereas for the DC, more input from the user is required. Both ways of monitoring and performing transfers are described in this article.

The Autonomous component and Desktop client

When creating an IEA, a Connector is selected. The connector makes use of one of the two available execution components: the Autonomous component (AC) or the Desktop client (DC) to perform transfers. You can see which execution component is in use on your IEA.

Transfers through the Autonomous component

Transfers through the AC can be monitored and performed in the Transfer center in the ILAP Data Exchange web application. This includes the following activities:

  • Viewing upcoming transfers
  • Performing non-automated uploads
  • Perform on-demand uploads
  • Identifying and dealing with overdue uploads or missing downloads
  • Identifying and dealing with failed uploads or downloads
  • Performing automated uploads before the planned transfer date
  • Viewing performed transfers


Viewing upcoming transfers

All the upcoming transfers of the IEAs that you are a part of, will be shown in the Transfer center. This happens 6 days before the planned transfer date. In the case that you are the Sender, the transfer can show up as a Pending upload with an upload button (when the automated uploads function is turned off) or as a Planned upload without any action (when the automated uploads function is active). When you are the Receiver, it will always appear as a Planned download. The download will start as soon as the upload has been performed successfully.

Performing non-automated uploads

When the automated upload function is turned off on the IEA, the uploads will appear at the set frequency with an upload button. From the moment that it appears in the transfer center, 6 days before the planned transfer date, the sender can upload by clicking the upload button in the action column. The upload will immediately start running, unless other uploads are being performed already. In that case the upload will be queued and performed as soon as the other uploads have finished.

In some cases, e.g. when your IEA has a daily frequency, you will have multiple pending uploads at the same time. In this situation, the uploads are grouped together per IEA, and you have to deal with the uploads one by one in chronological order. In this situation, this means that as soon as you have performed your upload of today, tomorrow’s upload will be pending. Note that max. 3 planned uploads per IEA are shown to maintain a clear overview.

Performing On-demand uploads

IEAs that have the frequency set to On-demand work differently, because there are no scheduled transfers. Instead, the sender always has the opportunity to upload a schedule. Users can find the IEAs with the upload button in the On-demand tab of the Transfer center. Simply click the Upload button and the upload will start running, or will be queued and performed as soon as the other uploads have finished.

Users are not notified for pending On-demand uploads (since they are always pending) in the counter of the tab. This counter will only include transfers that require attention from the user such as failed uploads or downloads.

Identifying and dealing with overdue uploads or missing downloads

When the planned transfer date passes, but the upload has not been performed yet, the status of the upload turns Overdue and on the receiving end the status of the download turns Missing. This only applies to transfers with automated uploads turned off.

As a sender, you can still perform the transfer by clicking the upload button in the action column. If it is no longer relevant to perform this upload, there is also a second button: Skip. When clicking this button, the upload disappears from the Scheduled tab and appears in the Performed tab with the status: Skipped.

As a receiver, you are asked to wait for the upload. The download can be missing when the sender has not performed a non-automated upload, but it can also be missing when an upload has failed. When the upload is successfully performed, it will start downloading like a regular upload. If it is skipped by the sender, the download will disappear from the Scheduled tab and appear in the Performed tab with the status: Skipped by sender.

Identifying and dealing with failed uploads or downloads

Sometimes transfers can fail. Failed uploads and downloads can be dealt with in different ways. For failed uploads, the user can view the detail log of the upload to identify what failed. This detail log can be copied and shared to solve the problem. When the problem is solved, the user can retry by clicking the Upload again button. In some cases it is desire to skip the upload as a whole. To do so, the user needs to open the menu on the right side of the row and click skip.

Failed downloads can be dealt with right away in the transfer center. By clicking View conflicts button in the action column, a Download conflict pop-up will show. The conflicts can be viewed and the appropriate action can be selected from the dropdown in the bottom. Click Confirm to perform the selected action.

Dealing with failed uploads and downloads works the same way for on-demand transfers.

Performing automated uploads before the planned transfer date

When the automated upload function is active, the system will perform the upload at the planned transfer date. If you want to perform the upload before this time, you can do so in the Transfer center. Hover over the transfer and open the menu by clicking on the icon on the right side of the row. Click on “Upload now”. The upload will start running or is placed in the queue to be uploaded.

Viewing performed transfers

Once an upload or download has been performed, it appears in the performed tab. Here you find a chronological overview of all the uploads and downloads performed by your tenant, on the IEAs that you are a part of. Newly performed transfers appear on top in blue, and are counted in the blue counter for this tab. Once you have seen them, the rows turn white and the counter will reset.

Apart from successfully performed uploads and downloads, also skipped transfers show up here.

Transfers through the Desktop client (DC) can be monitored and performed in the Transfer center in the DC. This includes the following activities:

  • Viewing upcoming transfers
  • Performing scheduled uploads
  • Performing on-demand uploads
  • Performing downloads

  • Identifying and dealing with failed uploads or downloads
  • Performing tests
  • Viewing performed transfers

Performed tests

If you are creating an IEA with a connector that uses the Desktop client, the upload test will be done through the Desktop client’s Transfer center. When you have created the upload test event in the web application, the upload will show in the Test tab. Click on the upload button to perform the test. If the test fails, you have the same options as with any other failed upload.

Viewing performed transfers

Once an upload or download has been performed, it appears in the performed tab. Here you find a chronological overview of all the uploads and downloads performed by your tenant, on the IEAs that you are a part of. Note that in the Desktop client, only the transfer that go through the Desktop client will be shown. Newly performed transfers appear on top in blue, and are counted in the blue counter for this tab. Once you have seen them, the rows turn white and the counter will reset.

Apart from successfully performed uploads and downloads, also skipped transfers show up here.
