Introduction
In order for two actors to have compatible Configs, both sides need to use the same Template. This is why the concept of Template sharing is necessary as illustrated in the sketch below.
This article describes how Templates are created, edited, shared, received, and more...
Note that Step 1 (below) is only required when creating a new Template, otherwise please refer to the other steps.
Step 1: Create a Template
Go to the Templates page from the Setup Menu and click on the button: “+ New template” .
The “Templates” page (1) with the Setup menu and the “+ New template” button (2).
Notes on Step 1:
What columns are shown in the form above?
Column Name | Description |
Title | The Title of the Template |
Id | The unique numeric Id representing the Template |
Shared with | The number of tenants that the Template is shared with |
Labels | The labels added to the Template |
# of fields | The number of ILAP Terms present in the Template |
# of own configs | The number of configs that uses this Template in my own organization (tenant) |
# or shared configs | The number of configs that uses this shared Template by other organizations (tenants) |

Step 2: Modify Key information and add/remove ILAP Terms used in Template
For the selected Template (or the one just created in Step 1), please fill out the information for each of the "red numbers" according to Notes below:
The screen for adding ILAP terms to Template.
Notes on Step 2:
1 | Fill out / edit Title (required) |
2 | Optionally provide / edit Description |
3 | Optionally add / remove labels (tags) |
4 | Filter out ILAP Term candidates (in the above case "disc" will limit the list to 4 candidates) |
5 | Add / Remove ILAP Terms from list: Add: Press the "+" for each ILAP Term you wish to add to Template. NOTE: When you select fields, you must be aware which if the ILAP Term is defined for Schedule or Activity level (called "Planning Object Type") as there can theoretically exist ILAP Terms with the same name that are defined for both Schedule and Activity. Delete: Press the "x" seen when hovering on far right of row: NOTE: It is possible to have a "Blank template", i.e a Template with no ILAP Terms. |
6 | List of currently selected ILAP Terms in Template |
7 | Press "Save" button when you are done. Required if you want to move forward with Steps 3 and 4. |
Step 3: (optional) Define Content Control for ILAP Term(s) in Template
After you have saved the Template, you can click on any ILAP Term in the list and see the following screen, where each of the "red numbers" will be described below it:
Notes on Step 3:
1 | Option to control what happens if a validation error occurs: If turned on, any validation breach will result in upload failing. If turned off, warnings will be shown in upload log, but will not result in upload failing. |
2 | Option to control if Content Control is active. If turned on, you will be able to modify (add/remove) items to be validated against (see 4 below). If turned off (default), the form will hide the list of values and ignore any content that was defined there, as well as ignoring the setting of the "Allow blanks" setting (see 3 below). |
3 | Option to control if blank values should be allowed or not. If turned on, any blank value will result in either warning or fail of upload, depending on setting described in 1 above. If turned off, blank values will be accepted and not causing validation violations. |
4 | Pressing this button shows the following choice:![]() Update in Bulk: Allows you to specify (or paste from an Excel csv export) a semicolon separated list of value to add in bulk. There is a Preview button (see screenshot below) allowing you to see the list in a more readable format before pressing the "Submit"-button. ![]() |
Step 4: (optional) Share Template with partner tenant(s)
If your transfer of schedule data involves exchange with another tenant (organization), then you need to share the template with that tenant by pressing the "Share" icon next to the Template title:
Pressing this will open this form:
Notes on Step 4:
1 | The list of existing Partner Tenants, showing the Name column. Note that this list will be blank first time you press the "Share" icon. |
2 | The list of existing Partner Tenants, showing the number of configs using the Template by the tenant. |
3 | The list of tenants that you can share Template with. |
4 | Press "Share"-button to add tenant to list. |
How to make a copy of a Template
In the list of Templates, there is a "Three dot"-menu at the end of each row that brings up these choices:
If you press "Duplicate", you will be asked to confirm:
Then you can modify the key information as described in Step 2 in this document:
Typically you will want to change the Title and add/remove some ILAP Terms.
How to view the received Templates
So far we have discussed how to make Templates for your own tenant (organization), and these are found under the default tab "Tenant Templates". We have also seen how you can share your templates with other tenants, so consequently you can also be on the receiving end of templates from other tenants:
Therefore, there is a tab called "Received Templates" showing these.
You can open and view them, but not edit them.
